Email and SMS applicants and record notes

You can now email and SMS applicants who have applied for job vacancies posted in Wrkplace, and record notes about those applicants. Save even more time by using automated notifications.

When you commence reviewing an application, simply change the application stage to Review. You can then choose to send an email to the applicant containing default text, which you can change if you wish.

Email or SMS an applicant, or multiple applicants in batch, any time. 

If an applicant is unsuccessful, quickly update the application stage to Unsuccessful. Select the option to notify the applicant. Again, the email will include default text, which you can change if you wish.

Advertise job vacancies and review, rate and manage applicants

Exciting news today with the launch of more key features in our Recruitment module. Enjoy the benefits of these features for free, until October.

As an employer, you can now add job adverts for any position you have entered into Wrkplace. 

Go to Recruitment > Jobs, then click the Add Job button. You must have the Position already created in Configure > Positions.

Wrkplace automatically generates a Job Landing Page. 

View the Job Landing Page then copy the URL and share on your website, social media, email or text message.

Applicants wishing to apply for your job available can apply online via the application form on this Job Landing page. 

Applicants then appear in Wrkplace for you to review and rate. You will also receive an email alert.

IMPORTANT: Please CONTACT US to confirm the email address you would like these new applicant notifications to be sent to.

You may then manage the status of each application throughout the lifecycle of the applicant: New > Review > Interview > Shortlist > References > Offer > Accepted. Or you can record an applicant as being Unsuccessful in their application.

Choose to tighten up the security and integrity of your employee sign out process

When an attendee signs in to your workplace, the default behaviour of the attendee's browser is to display a big blue SIGN OUT button.

We call this the 'Easy Sign Out' button, as it was designed to sign out upon departure, or at the start of any unpaid break.

You may now choose to disable this button, therefore forcing the attendee to scan a QR Code Sign In/Out Poster to sign out. 

This could be beneficial in the case of employees. By requiring employees to scan a QR code at the end of their shift or at the start of any unpaid break, you are reducing the risk of 'time theft'. No longer can an employee 'easy sign out' after departing your workplace.

Upon scanning a QR code when leaving, their browser will automatically route the attendee to a Sign Out page that does contain the Sign Out button and the opportunity to enter text (great for recording any notes, leave requests, raceday straps, number of track rides etc)

Note: We recommend training all employees to ensure their preferred mobile browser is not in 'Private' mode (Safari) or 'Incognito' mode (Chrome). If browsers are in either of these modes, their phone will not recognise that they are already signed in. The attendee will not automatically be sent to the Sign Out screen when they scan a QR code.

To disable the 'Easy Sign Out' button and tighten up the security and integrity of your employee sign out process, please submit a request.

Wrkplace is now even better with advanced employee records

You can now record more employee data for each employee in the Wrkplace People records, including:

Employment Type (Full-Time, Part-Time, Casual)

  • Current Position (customise your positions)
  • Awards and Award Classifications
  • Documents (CV, Certificates of Training, Employment Contracts, Medicals)
  • Payroll information
  • Emergency Contacts

Navigate to Configure > People.

For each employee, look for the additional tabs that are now available.

Finally you can ditch that clunky and insecure filing cabinet!

And it wont be long until we sync employees with Xero to save you even more time!

Free text not upon employee sign out

When an employee signs out (by clicking the blue sign-out button on their mobile device screen or by scanning a QR code upon departure) they can now enter some text information in a new text field.

This is ideal for recording relevant information such as:

  • number of track rides in the morning (if track riders are paid per ride);
  • number of raceday straps on that day or a prior day (if paid per strap and not signing in/out to record their hours for strapping);
  • requests for annual leave.

This note appears in the Attendance History screen. And they also appear in all exports to CSV, PDF and Payroll reports.
